ERS is seeking an Investments Administrative Coordinator to perform advanced (senior-level) administrative support work. Serves as the primary contact for the Investments Division providing administrative assistance to staff, government agencies, community organizations, or the general public. Schedules and organizes all Division meetings, ensuring all necessary arrangements are made in advance. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment.

Essential Responsibilities include, but are not limited to:

  • Serves as the primary point of contact for internal and external stakeholders regarding Investment Division operations, providing information, technical assistance, and guidance related to divisional processes, policies, and procedures.
  • Coordinate all meeting logistics for the division, including scheduling, agenda development support, resource planning, and stakeholder communication to ensure successful execution.
  • Collaborates with stakeholders to clarify meeting objectives, determine logistical requirements, and coordinate required resources supporting divisional initiatives and business operations.
  • Responds to inquiries from internal and external stakeholders, applying established policies and procedures to resolve issues and provides informed recommendations
  • Serves as the primary liaison for meeting and event coordination, communication schedule changes, action items, and operational updates to stakeholders. Manages post-meeting follow up, including action item tracking, distribution of materials, feedback collection, and document maintenance. Administers the Investments Division records management program in accordance with agency policies, records retention schedules, and applicable regulations.
  • Conducts monthly reviews and analysis of the Real Assets team meeting activities to monitor compliance identify trends and recommend process improvements.
  • Coordinates broker relationship activities serving as a liaison between Investments staff and external sell-side partners to support communication, meeting scheduling coordination, and information flow.
  • Evaluates broker management processes and develops recommendations to improve operational efficiency and stakeholder engagement.
  • Maintains and administers the Public Equites Coverage Program, ensuring that the research distribution list remains accurate and properly routed to the appropriate investment professionals. Coordinates procurement and inventory activities for divisional office supplies and operational resources, ensuring business needs are met efficiently and cost-effectively.
  • Coordinates facility and operational service requests through agency systems and monitors activity to ensure timely resolutions.
  • Oversees maintenance and support of divisional office equipment and technology resources to ensure uninterrupted business operations.
  • Manages divisional mail distribution processes to ensure timely, accurate, and secure delivery of correspondence and materials. Attends work regularly in accordance with agency leave and attendance policies.
  • Adheres to all applicable agency policies and procedures, including safety requirements and standards of conduct.

Required Minimum Qualifications: Your application for employment must reflect how you meet each of the following minimum qualifications:

  1. Five (5) years of administrative support experience which may include answering a multi-line phone in a professional office, scheduling professional staff for meetings using an automated calendar, and/or setting up and maintaining records.
  2. Three (3) years' experience of researching, compiling and analyzing data and/or reports.

Preferred Qualifications: Your application for employment should reflect how you meet the following preferred qualifications:

  1. Experience in an administrative institutional investment environment.
  2. Experience with the following computer applications: CAPPS; Anaplan; Bonfire; and/or Visio.
  3. Experience handling confidential or sensitive information.
