Job Title

Under direct supervision, the purpose of this position is to ensure quality customer service, providing direction to visiting citizens and interfacing with other City employees.

Essential Functions/Knowledge, Skills, & Abilities

Essential duties and responsibilities include:

  • Receives incoming packages for departments, including signing for package and logging information about packages when necessary and notifying appropriate departments of mail received.
  • Performs data entry functions by keying data into computer system: enters, retrieves, reviews or modifies data in computer database; verifies accuracy of entered data and makes corrections.
  • Types correspondence, public relations, record keeping and reports, memoranda, and related materials.
  • Communicates effectively with the public via telephone and in person; relays messages and instructions efficiently.
  • Complies with all written City policies and procedures.
  • Adheres to assigned work schedule as outlined in City and department attendance policies and procedures.

When assigned to City Manager's Office:

  • Monitors City main phone (PBX) activity by answering incoming phone calls, providing information and answers to questions and transferring calls to appropriate persons and departments.
  • Provides direction to visiting citizens by showing visitors where departments and individuals are located and guiding visitors to their destinations if assistance is required.
  • Maintains calendar of activities: schedules usage of Council Chambers and other conference rooms in City Hall, appointments, meetings, interviews, conferences, or other activities; updates calendar on a regular basis and notifies parties involved of changes.
  • Prepares purchase requisitions, petty cash reports, check requests, and inventory records.

Other job functions include:

  • Requires ability to apply principles of rational systems. Ability to interpret instructions furnished in written, oral, diagrammatic, or schedule form. Ability to exercise independent judgment to adopt or modify methods and standards to meet variations in assigned objectives.
  • Requires the ability to exercise the judgment, decisiveness and creativity in situations involving a variety of generally pre-defined duties which are often characterized by frequent change.
  • Requires the ability to perform skilled coordinated movements, such as operating a computer terminal, printers, fax machine, two-way radios and various office equipment.
  • Build professional relationships with internal staff and citizens.
  • Act in a manner that is approachable, friendly and inviting.
  • Offer flexibility and adaptability, especially during times of change.
Required Qualifications

Minimum qualifications include:

  • High school diploma or GED; supplemented by six (6) months previous experience and/or training involving general office work, receptionist work, customer service, and data entry.

Preferred qualifications include:

  • Bilingual English / Spanish preferred.

Conditions of employment include:

  • Must pass a drug screen and background check.
  • Must have Class C Texas Driver's License
Physical Demands/Supplemental

Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station. Some tasks require visual perception and discrimination.

Tasks are regularly performed without exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, toxic agents, violence, disease, or pathogenic substances.
