Position Purpose:

This role is essential to providing exceptional customer service to our Vetco Total Care hospital clients. As one of the first and last contacts clients have with our facility, you will embody our mission and values while helping to create a welcoming environment.

Your responsibilities include:

  • Answering phone calls and directing them to the appropriate team members.
  • Managing the hospital's appointment calendar, including scheduling appointments and reviewing online bookings.
  • Greeting clients and pets by name upon arrival, notifying the medical staff of their presence, and managing wait times effectively.
  • Assisting in training new staff and sharing valuable knowledge.
  • Ensuring a clean, welcoming waiting area stocked with necessary materials.
  • Confirming appointments the day before via clients' preferred communication methods.
  • Having a basic understanding of hospital logistics to support medical staff when needed.

Additional Responsibilities:

Other duties may be assigned as necessary.

Nature of Supervision:

In all matters related to patient care and customer service, you will report directly to the Hospital Office Manager and Hospital Leader on Duty.

Planning and Problem Solving:

As a key team member, you'll ensure the efficient operation of the hospital, providing an optimal experience for patients and clients. Adaptability is essential, as you will handle scheduling adjustments and communicate any delays caused by emergencies to clients waiting for appointments.

Impact:

Your role will significantly contribute to a productive practice while maintaining a high standard of care. You will be vital in ensuring that clients have positive first and last impressions of our facility.

Supervisory Responsibility:

This position does not involve direct supervisory duties.

Education/Experience:

  • A high school diploma is required.
  • At least one year of experience in a veterinary practice or customer service role is necessary.
  • Excellent verbal and written communication skills are essential.
  • Compassionate and professional demeanor, especially in emotional situations.
  • Strong telephone and computer skills.
  • Ability to work well in a team and adapt to new techniques and ideas.
  • Preferred: Experience with a Practice Management System.

Work Environment:

This position is conducted in a Vetco Total Care full-service veterinary hospital and may involve physical tasks such as bending, kneeling, lifting (up to 30 pounds), and standing for extended periods. You will spend considerable time interacting directly with clients and their pets.

Contacts:
