The Ordering/Receiving Clerk plays a critical role in ensuring the accurate and timely processing of prescription (Rx) orders within the Dallas Lab. This position is responsible for reviewing Rx data in the system, processing orders, and making necessary corrections to ensure accuracy before jobs move into production. The role serves as a key point of contact for customer inquiries related to order status and provides essential support to the stockroom and pre-production teams.

This position manages the receipt of short orders and finished and semi-finished lenses, ensuring all materials are properly accounted for and routed to the correct areas. The Order/Receiving Clerk performs cycle counts for all lens types, maintaining accurate inventory levels and helping prevent shortages or delays. The role also researches backorders and estimated delivery times with vendors and internal stock teams to support production planning and customer communication.

Success in this position requires strong attention to detail, the ability to compare data against source documents to detect errors, and proficiency in computer systems. The Ordering/Receiving Clerk must be knowledgeable in company billing policies, lens and coating availability, and service codes. Clear communication via email and direct interaction with internal teams and customers is essential.

The role provides operational flexibility by assisting the team lead as needed and cross-training in other areas of the lab. This ensures continuity during peak workloads, absences, or staffing changes. The ideal candidate is dependable, organized, able to work independently, and committed to maintaining high standards of accuracy, efficiency, and customer service.

Responsibilities

  • Review and process prescription (Rx) orders accurately and in a timely manner.
  • Verify data against source documents to identify and correct errors before production.
  • Enter, update, and maintain order information in the system with high accuracy.
  • Receive short orders, finished, and semi-finished lenses, and ensure proper documentation.
  • Perform cycle counts for all lens inventory and support accurate stock levels.
  • Research backorders and estimated delivery times with vendors and internal teams.
  • Communicate order status, questions, and issues with customers and internal departments.
  • Apply knowledge of billing policies, lens availability, coatings, and service codes.
  • Route work to designated production areas to maintain workflow.
  • Maintain organized records and communicate professionally via email.
  • Assist the team lead and provide stockroom backup as needed.
  • Cross-train in other lab functions to support operational coverage.
  • Follow safety, quality, and company procedures at all times.
Qualifications
  • High School Diploma or GED required.
  • Two to three years of experience in an optical laboratory or related environment.
  • Experience with DVI or similar optical software preferred.
  • Ability to read and interpret prescription (Rx) information accurately.
  • Strong data entry skills, including 10-key by touch and a minimum typing speed of 45 WPM.
  • Proficiency in Windows and Microsoft Office applications.
  • Basic math skills and strong attention to detail.
  • Excellent problem-solving and organizational abilities.
  • Ability to work independently with minimal supervision while meeting deadlines.
  • Strong communication skills, both written and verbal, in English.
  • Team-oriented mindset with the ability to collaborate effectively.
  • Flexibility to work overtime, weekends, and some holidays as business needs require.
  • Reliable attendance and punctuality.
  • Ability to memorize and retain large amounts of detailed information accurately.
