The Administrative Assistant for the Commercial Business Units will provide administrative support to the Senior Leadership of our Commercial Business Units, including managing calendars, setting meetings and managing expenses.

The AA must enjoy working within a fast-paced environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

COMPENSATION: $35-$40/Hour DOE

RESPONSIBILITIES:

  • Sustain a daily calendar of meetings and events.
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
  • Arrange travel and accommodations for the Senior Commercial Team. Prepare expense reports; facilitate payment of vendor invoices.
  • Plan meetings and events.
  • Have excellent communication and time management skills; proven ability to meet deadlines.
  • Ability to function well in a high-paced environment; performs additional duties as assigned by leadership.
  • Assist in preparing and managing presentations and decks.
  • Welcome guests by greeting them, in person or on the phone; answering or directing inquiries.
  • Use discretion, confidentiality, and good judgment.
  • Represent the company in a positive light through great follow-through skills and sound judgment.
  • Organize complex calendars and schedules, resolving any scheduling issues.
  • Prioritizes conflicting needs; handle matters expeditiously, proactively; determines appropriate course of action, referral or response for incoming issues.
QUALIFICATIONS:
  • Associates Degree (or better) required
  • 2+ years of related experience required in working in an administrative assistant role supporting senior level executives.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Ability to communicate effectively and professionally; demonstrating leadership to maintain credibility, trust and support with all stakeholders.
  • Regular working hours are M-F 8:00AM - 5:00PM Monday-Thursday in office; remote on Fridays.
